Position Overview
We’re looking for a friendly, detail-oriented Workspace Experience Coordinator to be the welcoming face of our office in Malta. This role is perfect for someone who thrives on variety, from greeting visitors with a smile to keeping the office running like
clockwork
Key Responsibilities
- Managing the front desk as the first point of contact for anyone coming into the office, greeting visitors and supporting with general clerical tasks.
- Serve as the liaison between building, office keepers and on-site support teams.
- Handle invoices, onboarding new suppliers, and credit card reconciliations.
- Place and manage office and event supply orders.
- Receive and distribute supplier deliveries, incoming/outgoing mail, and courier packages.
- Assist with onboarding logistics for new hires (welcome packs, desk setup, access cards, introductions).
- Manage guest access cards and ensure secure, seamless access for visitors.
- Flag and follow up on any maintenance or facility issues in the office.
- Book taxis and assist with travel arrangements and coordination for company apartments.
- Assist in supporting internal office events.
- Assist in office health & safety protocols, ensuring a safe and compliant workplace.
Requirements
- A warm, approachable personality and strong professional presence.
- Excellent communication and multitasking skills.
- Flexible, with a willingness to learn and take on new responsibilities.
- Ability to multitask, prioritise, and work independently with initiative
- Experience with office administration, event support, or a similar operational role
- IT proficiency, especially with Microsoft Office.
- Strong communication skills with a professional telephone manner
